Action Lifecycle

An action in Zeltask moves through different states that reflect its progress from creation to completion. Understanding this cycle helps teams manage workloads and maintain visibility over pending tasks.

Action States

OpenThe action was created and is waiting to start
In ProgressA team member is actively working on the task
On HoldThe action is temporarily paused (waiting for materials, approval, etc.)
DoneThe task was completed

State Flow

Actions can move between states flexibly:

Open → In Progress → Done
↓ ↑
On Hold

There is no strict sequence required. For example, an action can go from Open directly to On Hold if missing materials are identified before work begins.

Who Can Change Status

  • Assigned users: Can change the status of actions assigned to them
  • Administrators: Can change the status of any action

Priority vs. Status

Status and priority serve different purposes:

Tracking in Activity History

Every status change is recorded in the Activity section of the action, including:

  • Date and time of the change
  • Previous and new status
  • User who made the change

This allows you to review the complete timeline and identify patterns or delays.

Can Statuses Be Customized?

No. Action statuses in Zeltask are fixed and cannot be customized:

  • You cannot add new statuses
  • You cannot rename existing statuses
  • You cannot remove or disable statuses

The four statuses (Open, In Progress, On Hold, Done) are designed to cover standard operational workflows. This fixed structure ensures consistency across the platform and reliable reporting.
