Schedule an Inspection
Create scheduled inspections to ensure routine checks happen consistently. Assign inspections to specific users or teams with defined start dates, due dates, and recurrence patterns.
Before You Start
- You need Manager or Supervisor permissions
- Inspection templates must exist in your organization
- Users or teams you want to assign must be set up in Zeltask
Steps
Step 1: Access the Inspections module
- Click Inspections in the left navigation bar
- You see the main view with inspection cards
- Click Schedule Inspection

Step 2: Select a template
- Choose the template you want to schedule
- The template defines the questions, sections, and conditions for this inspection type

Step 3: Set the dates
- Start Date: When the inspection becomes available
- Due Date: Deadline for completing the inspection

Step 4: Configure recurrence (optional)
Choose how often this inspection should repeat:

| None | One-time inspection | — |
| Daily | Repeats every day | — |
| Weekly | Repeats weekly | Select days of the week |
| Monthly | Repeats monthly | Select day of the month, frequency |
| Yearly | Repeats annually | Select month and day |
Depending on your selection, additional configuration options appear:
- How many months/years between occurrences
- Which day of the month
- Which days of the week

Step 5: Configure completion options
Enable options as needed:
- Allow inspections to be completed after the scheduled date: Permits completion even if the due date has passed

Step 6: Assign the inspection
Choose who should complete this inspection:
| Assignment Type | When to Use |
|---|---|
| User | Specific person is responsible |
| Team | Any team member can complete it |
You can assign to both a user and a team if needed.

Step 7: Submit the schedule
- Review all settings
- Click Submit
The scheduled inspection is created, and assigned users or teams receive a notification.

What Happens After Scheduling
- The inspection appears in the Scheduled Inspections view
- Assigned users and teams are notified
- On the start date, the inspection becomes available for execution
- For recurring inspections, new instances are generated automatically based on your recurrence settings
View Scheduled Inspections
To see all scheduled inspections:
- Open the Inspections module
- Switch to the Scheduled view
- See all upcoming inspections with:
- Template name
- Description
- ID
- Scheduled date and time
- Assigned users and teams
- Questions in the inspection

Tips
- Set realistic due dates that give assignees enough time to complete thoroughly
- Use weekly recurrence for routine checks like pre-shift safety inspections
- Use monthly recurrence for periodic audits and equipment reviews
- Assign to teams when any qualified member can complete the inspection
- Assign to specific users for accountability on critical inspections
- Review scheduled inspections regularly to ensure coverage
