Execute an Inspection

Complete a digital inspection by answering questions, uploading evidence, and documenting findings in real time.

Before You Start

  • You need access to the Inspections module
  • Inspection templates must exist in your organization
  • For scheduled inspections, one must be assigned to you or your team

Steps

Step 1: Access the Inspections module

  1. Click Inspections in the left navigation bar
  2. You see inspection cards showing completed and in-progress inspections
  3. Click Execute Inspection to start a new inspection

Step 2: Select a template

  1. A modal opens with available inspection templates
  2. Browse or search for the template you need
  3. Click on the template to select it

Each template defines the structure, questions, and conditions for that type of inspection.

Step 3: Review inspection details

After selecting the template, you see the inspection view with:

  • Inspection name
  • Description
  • Number of sections
  • Number of pages
  • Total questions

Review this information before starting to answer questions.

Step 4: Answer the questions

  1. Work through each question in the inspection
  2. Select answers, enter values, or provide text responses as required
  3. Your progress is displayed as a percentage (%) so you know how much remains

Step 5: Respond to triggers and conditions

Based on your answers, the inspection may trigger additional requirements:

Notifications:

  • Alerts sent to supervisors or teams
  • May be sent immediately or when the inspection is finalized
  • Some notifications are pre-configured; others you complete during execution

Evidence Requirements:

  • Upload photos or videos when prompted
  • Take new photos or select existing files from your device

Action Creation:

  • Create corrective actions directly when you identify issues
  • Fill in details: name, description, priority, assignee, due date, location, asset

Step 6: Add comments (optional)

While answering questions, you can add comments to:

  • Explain your reasoning for specific answers
  • Note conditions that affect the inspection
  • Flag items for supervisor attention
  • Record observations that don't fit the standard questions

Step 7: Review the summary

  1. After answering all questions, click Continue
  2. The summary view displays all questions and your answers
  3. Review for accuracy and completeness

Step 8: Edit if needed

If you notice an error or need to change a response:

  1. Click on the section or question you want to edit
  2. Make your corrections
  3. Return to the summary

Step 9: Finalize the inspection

  1. Confirm all answers are correct
  2. Click Finalize to complete the inspection

The inspection is saved with:

  • Your user information
  • Timestamp of completion
  • All answers, comments, and evidence
  • Any actions created during execution

Tips

  • Complete inspections in the field while conditions are visible — don't rely on memory later
  • Use comments to document anything unusual, even if it doesn't affect your answers
  • Upload evidence immediately when at the location to ensure accuracy
  • If you need to pause, your progress is saved — find the inspection in "In Progress" to resume
  • For recurring inspections, consistent answers over time help identify trends

What Happens After Completion

  • The inspection appears in your completed list
  • Supervisors can view and review your inspection
  • Reports are generated and available for audit purposes
  • Any scheduled recurrence generates the next inspection automatically
  • Created actions are assigned and tracked separately
