Add Required Evidence

Upload photos or videos as evidence when completing an inspection to document conditions, issues, or compliance.

Before You Start

  • You need access to the Inspections module
  • The inspection template must have evidence requirements configured
  • Your device needs camera access (for mobile) or file upload capability (for desktop)

Steps

Step 1: Open the inspection

  1. Click Inspections in the left navigation bar
  2. Click Execute Inspection
  3. Select the template you want to use from the modal

Step 2: Answer questions until evidence is required

  1. Work through the inspection questions as normal
  2. When you reach a question that requires evidence, you'll see an evidence upload prompt

Evidence requirements are triggered based on conditions configured in the template. For example, selecting "Non-compliant" on a quality check may require you to upload a photo of the issue.

Step 3: Upload evidence

  1. Click the Add Evidence or Upload button
  2. Choose your evidence type:
    • Photo: Take a new photo or select from your device
    • Video: Record a new video or select from your device
  3. Add multiple files if needed to fully document the situation

Step 4: Review and continue

  1. Verify the uploaded evidence appears in the question
  2. Continue answering the remaining inspection questions
  3. Upload additional evidence for other questions as required

Step 5: Complete the inspection

  1. Once all questions are answered, click Continue
  2. Review the inspection summary, including all uploaded evidence
  3. If you need to add or change evidence, click to edit that section
  4. Click Finalize to complete the inspection

Tips

  • Take clear, well-lit photos that show the issue or condition clearly
  • For equipment issues, include the asset tag or identification in the photo when possible
  • Upload evidence immediately when prompted — you can review and replace it in the summary if needed
  • If you cannot capture evidence at the moment, add a comment explaining why and complete the upload as soon as possible

Example

During a sanitation inspection, you mark a surface as "Requires Cleaning":
