Create an Inspection Template
Build a reusable inspection template with questions, sections, and conditional logic that operators will use to execute standardized checks.
Before You Start
- You need Manager or Supervisor permissions
- Plan your inspection structure: what questions, what order, what triggers
Steps
Step 1: Access the Templates module
- Click Templates in the left navigation bar
- Click New Template
- Select Inspection from the template type options

Step 2: Enter basic information
- Enter a Title that clearly describes the inspection (e.g., "Daily Pre-Shift Safety Check")
- Add a Description explaining the purpose and scope
- Add Tags to categorize the template (e.g., Safety, Maintenance, Quality)

Step 3: Add questions
Use the right-side menu to add questions. For each question:
- Click to add a new question
- Enter the question text
- Select the response type
- Mark as Required if the question must be answered

Available response types for inspection templates:
- Text field
- Numeric field
- Single selection
- Multiple selection
- Yes / No / N/A
- Date and time
- Multimedia (photos/videos)
- Location
- Asset
- Instruction (informative text)
Step 4: Organize with sections
Group related questions under sections:
- Add a Section from the right menu
- Name the section (e.g., "Equipment Condition", "Safety Checks")
- Drag questions into the section or add new questions within it

Step 5: Add pages (optional)
For longer inspections, split content across multiple pages:
- Add a Page from the right menu
- Name the page
- Add sections and questions to each page
This helps operators navigate complex inspections without overwhelming them.
Step 6: Configure conditions and triggers (optional)
Make questions trigger actions based on responses:
- Select a question
- Add a condition (e.g., "If answer is No")
- Select a trigger:
- Require an action
- Create a ticket
- Notify someone
- Require evidence
- Add a nested field

Step 7: Save the template
- Review your complete template structure
- Click Save
- The template appears in the main Templates list
The template is now available for scheduling and execution.
Tips
- Start with the most critical checks first
- Use clear, unambiguous question text
- Group related questions in sections for logical flow
- Add instructions before complex sections to guide operators
- Configure triggers for non-compliant answers to ensure issues are captured
- Test the template by executing it yourself before rolling out
