Create a Procedure Template
Build a step-by-step checklist that operators follow to execute a process consistently.
Before You Start
- You need Manager or Supervisor permissions
- Procedure templates use only Yes / No / N/A responses — for more complex needs, use an Inspection Template
When to Use a Procedure Template
Procedure templates are ideal for:
- Linear, step-by-step processes
- Compliance checklists
- Standard operating procedures (SOPs)
- Simple verification lists
If you need numeric inputs, text fields, photos, or multiple choice options, create an Inspection Template instead.
Steps
Step 1: Access the Templates module
- Click Templates in the left navigation bar
- Click New Template
- Select Procedure from the template type options

Step 2: Enter basic information
- Enter a Title that describes the procedure (e.g., "Machine Startup Procedure")
- Add a Description explaining what the procedure covers
- Add Tags to categorize (e.g., Operations, Safety, Maintenance)

Step 3: Add steps
Each step in a procedure template is a question with Yes / No / N/A response options:
- Click to add a new step from the right menu
- Enter the step description (e.g., "Verify power switch is in OFF position")
- The response options are automatically set to Yes / No / N/A

Operators will mark each step as:
- Yes — Step completed successfully
- No — Step could not be completed
- N/A — Step does not apply
Step 4: Organize with sections
Group related steps under sections:
- Add a Section from the right menu
- Name the section (e.g., "Pre-Start Checks", "Startup Sequence")
- Add steps within each section

Step 5: Add pages (optional)
For longer procedures, use multiple pages:
- Add a Page from the right menu
- Name the page
- Add sections and steps to each page
Step 6: Configure conditions and triggers (optional)
Procedure steps can trigger actions:
- Select a step
- Add a condition (e.g., "If answer is No")
- Select a trigger:
- Require an action
- Create a ticket
- Notify someone
- Require evidence
- Add a nested field
Example: If "Safety guard in place?" is answered No, trigger a notification to the supervisor.

Step 7: Save the template
- Review your procedure structure
- Click Save
- The template appears in the main Templates list
Tips
- Write steps as clear, actionable instructions
- Order steps in the exact sequence they should be performed
- Use N/A option for steps that may not apply in all situations
- Add conditions to "No" answers to capture issues immediately
- Keep step descriptions concise — one action per step
