Assign Assets to Locations

Link equipment to specific physical spaces so teams know where assets are installed. When assets are assigned to locations, you can view all equipment at a location, create location-based reports, and improve operational traceability.

Before You Start

  • The location must already exist in Zeltask
  • You need permission to create or edit assets

How Asset-Location Assignment Works

Assets are linked to locations through the Location field in the asset record. When you set a location for an asset:

  • The asset appears in that location's associated assets list
  • Teams can find equipment by browsing locations
  • Scanning the location's QR code shows all assets at that spot
  • Reports can filter by location to show equipment distribution

Assign a Location When Creating an Asset

  1. Open the Assets module
  2. Click Create Asset
  3. Fill in the basic asset information (name, manufacturer, model, etc.)
  4. In the Location field, select where the asset is installed
  5. Complete the remaining fields
  6. Click Save

The asset is now linked to that location.

Assign or Change Location on an Existing Asset

  1. Open the Assets module
  2. Find and select the asset you want to update
  3. Click Edit
  4. In the Location field, select the new location
  5. Click Submit

The asset now appears in the new location's associated assets list.

View Assets at a Location

From the Locations Module

  1. Open the Locations module
  2. Select a location to open its detail view
  3. View the list of assets associated with that location

By Scanning the QR Code

  1. Scan the location's QR code with your mobile device
  2. From the menu that appears, select View Assets
  3. See all equipment registered at that location

This is useful for field verification — confirm that physical equipment matches what's recorded in the system.

Equipment Inventory by Area

Assign locations to all assets to build a complete map of equipment across your facility:

Maintenance Planning

When planning maintenance routes, filter assets by location to:

  • Group work orders for the same area
  • Reduce travel time between tasks
  • Ensure complete coverage of each zone

Incident Response

When an issue is reported at a location:

  1. Open the location's detail view
  2. See all assets in that area
  3. Quickly identify which equipment might be affected

Tips

  • Create locations before registering assets for easier assignment
  • Use consistent naming for locations (e.g., "Production Hall A" not "Prod A" or "Hall A - Production")
  • Update asset locations promptly when equipment is moved
  • Review location assignments periodically to ensure accuracy
  • Use location-based asset lists during physical inventory checks
