Restock and Adjust Inventory
Update stock quantities when new materials arrive or when you need to correct discrepancies between physical and recorded inventory.
Before You Start
- You need access to the Inventory module
- The inventory item must already exist
Understanding Restock vs. Adjust
| Action | Use When | Example |
|---|---|---|
| Restock | New inventory has been received | Shipment of 50 new filters arrived |
| Adjust | Physical count doesn't match recorded stock | Count shows 23 units but system shows 25 |
Steps
Step 1: Find the inventory item
- Click Inventory in the left navigation bar
- Search or browse to find the item you need to update
- Click on the item card to open the detail view

Step 2: Click Restock
- In the detail view, click Restock
- A dialog opens with stock update options
Step 3: Choose the update type
For new inventory received:
- Select Restock
- Enter the quantity received
- The system adds this amount to the current stock
For correcting discrepancies:
- Select Adjust
- Enter the correct total quantity
- The system updates stock to match your count

Step 4: Save the update
- Click Submit to save the changes
- The stock level updates immediately
- The change is recorded in the activity history
Example Scenarios
Scenario 1: Receiving a Shipment
Current stock: 15 units Received: 50 units
- Open the inventory item
- Click Restock
- Select Restock
- Enter: 50
- Submit
Result: Stock updates to 65 units
Scenario 2: Correcting After Physical Count
Recorded stock: 42 units Physical count: 38 units
- Open the inventory item
- Click Restock
- Select Adjust
- Enter: 38
- Submit
Result: Stock updates to 38 units (discrepancy logged in history)
Tips
- Perform regular physical counts to catch discrepancies early
- Add comments when adjusting to explain the reason for the discrepancy
- Restock promptly when shipments arrive to keep records accurate
- Review the activity history if stock discrepancies occur frequently — it may indicate a tracking issue
Activity History
All stock changes are logged in the Activity section with:
- Type of change (restock or adjustment)
- Previous and new quantities
- Date and time
- User who made the change
This provides full traceability for audits and investigations.
