Schedule Recurring Actions
Set up recurring preventive maintenance actions to automatically generate tasks on a regular schedule. This ensures maintenance routines are never missed and reduces manual task creation.
Before You Start
- You need permission to create actions
- Plan your maintenance frequency based on equipment requirements or operational needs
Recurrence Options
Zeltask supports four recurrence patterns:
| Pattern | Use Case | Configuration |
|---|---|---|
| Daily | Tasks needed every day | Runs every day from start date |
| Weekly | Tasks on specific days | Select which days of the week |
| Monthly | Tasks once a month | Select day of the month |
| Yearly | Annual tasks | Select month and day |
Set Up a Recurring Action
Step 1: Create a preventive action
- Open the Actions module
- Click Create Action
- Set Type to Preventive
- Fill in title, description, and other basic fields

Step 2: Configure recurrence
- Locate the Recurrence field
- Select your pattern:
For Daily:
- Select Daily
- Tasks will generate every day
For Weekly:
- Select Weekly
- Choose specific days (e.g., Monday, Wednesday, Friday)

For Monthly:
- Select Monthly
- Choose the day of the month (e.g., 1st, 15th)
For Yearly:
- Select Yearly
- Choose the month and day (e.g., March 15)
Step 3: Set dates
- Start Date: When the first occurrence should be created
- Due Date: Deadline for completing each occurrence

Step 4: Complete and save
- Assign to a user or team
- Add location, asset, and other relevant fields
- Click Submit
The system will automatically generate actions based on your schedule.

Managing Recurring Actions
View upcoming occurrences
- Recurring actions appear in your action list as they are generated
- Each occurrence is a separate action that can be tracked independently
Modify the schedule
- Open the original recurring action
- Click Edit
- Update the recurrence settings
- Click Submit
Changes apply to future occurrences only.
Stop a recurring action
- Open the recurring action
- Click Edit
- Set Recurrence to None
- Click Submit
No new occurrences will be generated.
Tips
- Start with realistic frequencies—you can always increase later
- Align weekly schedules with shift patterns for better completion rates
- Use monthly recurrence for tasks that don't need weekly attention
- Set due dates that give adequate time for completion
- Review recurring action completion rates regularly to optimize schedules
- Link recurring actions to assets to build comprehensive maintenance history
